What Awaits You

Here, you become the first voice, the first smile, and above all the central point that keeps information flowing effortlessly. You answer calls, guide visitors, organize terminal appointments, and ensure everyone leaves with the right information at the right time. You handle the reception of office‑bound goods, prepare necessary reports, and notify customers as soon as their shipments arrive — in short, you keep everyone connected and well‑equipped to move forward.

You are also a key ally to the sales and customer service teams. You contact customers when information is missing, confirm space reservations, verify delivery dates, and adjust files when needed. You create presentations, keep documentation up to date, and lend a hand wherever necessary to maintain impeccable service.

More Specifically, the Main Responsibilities Are:

        • Answer calls courteously and direct them to the right people;
        • Welcome visitors and manage terminal appointment requests;
        • Respond to information requests by phone or email and forward messages to the right teams;
        • Receive goods intended for the administrative office;
        • Produce various reports to support the sales and customer service teams;
        • Notify customers when their merchandise arrives and send provisional receipts;
        • Participate in meetings related to sales and customer service;
        • Contribute to providing high‑quality service to DTI, NSSI, and TTI customers;
        • Contact customers to obtain or confirm missing information in reservation forms;
        • Confirm additional space reservations and remind customers of delivery deadlines;
        • Update data used for statistical tracking;
        • Create presentations (PowerPoint or others) for various departments;
        • Perform any other related tasks to support the team.

 

 

Working Conditions

        • Permanent daytime position;
        • 40 hours per week from May to October and 35 hours per week from November to April, averaging 37.5 hours, spread over five (5) days Monday to Friday;
        • Overtime paid according to internal rules

Required Skills

        • D.E.P. in Secretarial Studies. Any equivalent training may also be relevant;
        • 2 years of relevant experience, preferably in an industrial environment (warehouse, manufacturing);
        • Proficiency with the Microsoft Office Suite;
        • Bilingualism, spoken and written, in English and French;
        • Knowledge of the maritime industry is an asset;
        • Knowledge of the logistics sector is an asset.
