Job description

The Office Clerk – Cargo reports to the Rimouski Terminal Manager. His main responsibility is to provide administrative support to the Land Operations Department. He/she enters data, keeps various reports up to date, and provides courteous customer service to the cargo customers with whom he/she comes into contact.

The essence of this position requires versatility, autonomy and excellent organizational skills.

 

Main responsibilities

  • Create invoices in the system from handwritten copies;
  • Take charge of invoicing and payments not posted to customer accounts;
    Answer the phone and follow up as necessary;
  • Inter-port report verification;
  • Consolidate waybills to produce reports for customers;
  • Manage and follow up on the entire claims process;
  • Produce and maintain various statistics concerning the department, particularly in relation to repairs and purchases;
  • Produce and distribute various memos related to cargo operations;
  • Collaborate on various projects by providing administrative support and performing data entry;
  • Ensure efficient filing of departmental paper documents;
  • Act as back-up in the absence of the Cargo Manager;
  • Adopt work methods to promote continuous improvement;
  • Any other related duties.

Required Skills

College diploma in a relevant field or equivalent experience;

Autonomy, analytical mind and sense of priorities;

Demonstrate attention to detail;

Interpersonal and customer service oriented;

Comfortable with computer tools;

Knowledge of ISO quality systems an asset;

Comfortable with English (oral and written) (English is essential for communication with customers, national and international suppliers).
